Press Guidelines

Thank you for your interest in obtaining a press pass for RWA2020. RWA provides complimentary press passes to members of the press at its sole discretion and using the guidelines below. 

To request a press pass, please fill out the press pass request form (available March 31, 2020 at 11 a.m. CDT). Please allow 2-3 business days for response.

Guidelines

Reporters, editors, and producers employed by news publications or organizations, including print, broadcast, or online outlets, must have a current email address from that outlet. A letter of assignment verifying that the press member will be covering the Romance Writers of America annual conference must be presented upon request.  

Contributing editors and reporters and freelance writers must present a letter of assignment as proof they have been retained to cover the Romance Writers of America annual conference by a print, broadcast, or online news outlet. 

General and Honorary RWA members are not eligible to receive a complimentary press pass per RWA Policy. 

Filming, Audio Recording, and Photography:

• RWA considers unwanted or unauthorized photography or recording to be inappropriate and a violation of our antiharrassment policy. If an attendee requests not to be filmed, photographed, or recorded, please respect that. 
• All filming or photography in the main conference areas must be cleared with RWA communications staff prior to the conference. 
• Workshops and other events/sessions cannot be photographed, filmed or audio recorded unless cleared with RWA communications staff beforehand.
• If you are cleared to photograph, film or record a workshop or other event/session, the session moderator will announce you to the attendees before the session begins.
• Please note: the hotel does not permit filming in public areas, or filming hotel guests not attending conference.

Interviews: 

• If you would like to set up an interview with an RWA Board Member about the organization, please contact RWA communications staff to facilitate. 
• General attendee interviews do not have to be cleared with RWA communications staff, but staff is happy to help facilitate as needed. 

Press Room

Press room availability is dependent on the venue. Please contact RWA communications staff to facilitate. 

Access: 

• Press passes do not grant access to the Annual General Meeting,* conference events where food is served, or ticketed events. 
  If you would like to attend one of the above events, please contact RWA communications staff with your request. 

*RWA members attending with a press pass are allowed to attend the Annual General Meeting, but are requested to notify RWA staff of membership status beforehand to avoid confusion.
