RWA BOARD MEETING

July 22-23, 2012

The RWA Board of Directors had a very productive meeting, which included discussion and motions on the following items:

1. In order to best serve RWA’s mission statement and purpose, the Board determined it is necessary to define what a romance story is so that programs and benefits can remain focused on romance. The Board approved a definition of romance as a work that contains a central love story, and the resolution of the romance is emotionally satisfying and optimistic.

2. The Board reviewed recommendations made by an outside consulting firm hired to evaluate the RITA Contest. In keeping with industry practices for professional awards, the Board approved the following changes:

  • Entries will be judged according to clear criteria. Therefore, a four-tiered scoring system will be used with Romance being the most heavily weighted element. The other elements will be Plot/Story, Writing, and Characters.
  • The contest categories were clarified and streamlined. For the 2013 RITA Contest, the categories will be: 
    • Contemporary Single Title Romance
    • Historical Romance (includes Regency Romance)
    • Inspirational Romance
    • Long Contemporary Series Romance (more than 60,000 words)
    • Novel with Strong Romantic Elements
    • Paranormal Romance
    • Romance Novella
    • Romantic Suspense
    • Short Contemporary Series Romance (less than 60,000 words)
    • Young Adult Romance
    • Best First Book
  • It is not within RWA’s mission to grant awards to books outside the romance genre. Therefore, the Novel with Strong Romantic Elements category will be eliminated from the RITA contest beginning with the 2014 contest year.
  • The entries of those who volunteer to judge the RITA Contest will be processed first.
  • RITA scores will not be returned.

3. The Board clarified that the Golden Heart contest is open only to members who have not published a Novel or Novella. The Board also approved several changes to the Golden Heart Contest:

  • All entries will be submitted and judged electronically.
  • A four-tiered scoring system will be used with Romance being the most heavily weighted element. The other elements will be Plot/Story, Writing, and Characters.
  • The categories for the 2013 Golden Heart Contest will be:
    • Contemporary Series Romance
    • Contemporary Single Title Romance
    • Historical Romance
    • Inspirational Romance
    • Paranormal Romance
    • Romantic Suspense
    • Young Adult Romance
  • Works entered in the Golden Heart contest must not be published as long as they are under consideration for the Award.

4. The Board unanimously approved designating as PAN-eligible any member who has earned $5,000 in the form of earnings for a Self-Published novel or novella that meets the definition of Romance Fiction. The monetary threshold for eligibility recognizes a different business model that requires authors to invest in publication costs as well as a higher percentage in return.

5. The Board reviewed a Code of Ethics complaint regarding an individual who admitted using Chapter funds for her personal benefit. The Board approved suspending the individual from RWA membership for a period of one year, during which time she must reimburse the money owed to the Chapter. She will be permanently banned from holding office at the chapter or National level. If at the end of the suspended year she has not repaid the Chapter, she will be permanently banned from RWA.

6. The Board amended the RWA Honor Roll policy to recognize current RWA members whose books, excluding multi-author anthologies, have appeared on one of the following best-seller lists: New York Times printed lists, Publishers Weekly top 10, or USA Today top 50.

7. The Board approved the application of the Cultural, Interracial, and Multicultural Special Interest Chapter of Romance Writers of America.

8. The Board revoked the affiliation of Romance Writers Ink, due to the dissolution of the chapter.

9. In light of industry changes and in keeping with the legal requirements of a 501(c)(6), the Board approved the formation of a new Membership Reclassification Task Force to continue to review membership designations and to make recommendations for implementation.

10. The Board approved suspending the moderation of non-harmful violations on the RWA forums until the November Board meeting.
