Promotional Opportunities

2014 literacy event

The Swag Shoppe

Let RWA do all the work for you! You pick your item, your budget (starting at $1,500) and RWA will take care of the rest!

In an effort to personalize each attendee's conference experience, instead of receiving prestuffed totes, attendees will walk through an on-site Swag Shoppe and select "swag" (promotional items) to take home. Authors/companies who'd like to participate in the Swag Shoppe will arrange co-branded amenities (participant’s name or logo plus RWA2016 logo) through RWA. The minimum cost to participate is $1,500 (note: sponsorship recognition begins at $3,500). Prices include the cost of the items plus branding and placement in the Swag Shoppe.

The Swag Shoppe will not replace the Goody Room. Items placed in the Swag Shoppe must be purchased and arranged through RWA. As added convenience, RWA will ensure that items are placed in the Swag Shoppe, monitor the room, and replenish inventory. Other promotional items may be placed in the Goody Room.

Examples of amenities for the Swag Shoppe:

  • Beach towel
  • Sanitizer
  • Snacks
  • Can coozie
  • Beach reads
  • Starbucks gift cards
  • Mason jar tumbler
  • Sand drink holder
  • Sunglasses
  • Waterproof phone pouch
  • Essential oil roller
  • Moleskine journal
  • Trail mix
  • Bottled water
  • Sun hat
  • Protein bars

Goody Room

RWA allows publishers and attendees to provide promotional items and/or books for conference attendees in the Goody Room. The rules for the Goody Room have been updated as follows:

  • There is no registration for the Goody Room. Space is available first come, first served.
  • Books must have a 2016 or 2017 copyright date and be romance novels.
  • All items must be in a container no larger than 8.5” w x 12” l x 6” h.
  • Excess items are not allowed to be stored in the Goody Room.
  • Any items not in a container will be discarded.
  • Signs or displays that do not fit within the container will not be allowed.
  • Items left over at the end of conference will be discarded.

If you have questions regarding the Goody Room, please e-mail megan.sloan@rwa.org.

“Readers for Life” Literacy Autographing

The 2017 “Readers for Life” Literacy Autographing is a mass book-signing event, where hundreds of romance authors sign books (donated by publishers) for fans, with the proceeds of the event donated to local and national literacy organizations. The 2017 Literacy Autographing event will take place Wednesday, July 26, from 5:30–7:30 p.m. at the Walt Disney World Swan and Dolphin Resort.

The event raises tens of thousands of dollars for literacy programs every year. RWA receives author requests for book donations through May 1, 2017, and then submits the requests to publishers around mid-May. Publishers donate books for their authors to sign, which are then sold for the cover price at the event.

Trade Show

The purpose of the RWA Trade Show is to provide a venue for authors to make connections with companies that offer business assistance to authors.  If you or your company would like to have exhibit space at the RWA Trade Show, please contact Megan Sloan at  megan.sloan@rwa.org.

Indie Book Signing

A limited number of authors with self-published romance novels participate in the Indie Book Signing at the 2017 RWA Annual Conference. These are run in a very similar fashion to the Publisher-Hosted Book Signings, but in this case, we have several author-publishers in one room to give away promotional copies of their romance novels.

Participating authors must commit to providing a minimum of 48 romance novels to give away in a physical format (card with a free download, print, CD, flash drive, etc.).

Registration for this event is part of the conference registration process (check the main registration page for date information). Spaces are limited, and they fill quickly. For more information, please e-mail steph.fry@rwa.org.

Publisher-Hosted Book Signings

A publisher-hosted book signing allows authors to meet readers (conference attendees) and sign their latest romance releases during a one-and-a-half hour time period. An RWA staff member arranges the date and time of the signing based on available space, in consultation with the publisher. To arrange for a publisher-hosted book signing, e-mail steph.fry@rwa.org to submit a request. All authors participating in the book signing must be registered for the RWA Conference.

Publisher Spotlights

A Publisher Spotlight features a panel of editors who discuss the publishing experience at your house, explain what you acquire, and give an overview of your publishing program. To arrange for a publisher spotlight, e-mail steph.fry@rwa.org.

Sponsorship Opportunities

RWA Conference sponsorship provides a direct link to your target demographic and an avenue to promote your publishing programs, new lines or authors. Your publishing program can be a Platinum-, Gold-, Silver-, or Bronze-level partner through a sponsor buy-in or through the sponsorship of a conference item/event. The total amount spent sponsoring a conference item or event contributes to the total needed to reach a partner level. View items and events available for sponsorship at http://www.rwa.org/sponsorship; e-mail megan.sloan@rwa.org to arrange sponsorship.
